Use of Video Recording and Analysis (VRA) Technology

What is VRA Technology and How Is It Used?

VRA technology may be used during certain video interactions to capture, analyse, and in some cases, store video and audio data. This technology can help improve service quality, support training, and ensure the safety and effectiveness of interactions.

Video Recording and Data Collection

Please be aware that video sessions may be recorded when VRA is in use. These recordings may capture both visual and audio elements, and in some cases, sensitive personal data - such as indicators of health conditions or vulnerabilities - if voluntarily disclosed during the session.

Data Storage and Security

All data collected via VRA is securely stored within a private instance hosted on Amazon Web Services (AWS), ensuring compliance with applicable data protection standards. Access to recorded data is strictly limited to authorized personnel and is protected using robust technical and organizational measures.

Data Retention

VRA recordings and related data are retained only for as long as necessary to fulfil the purposes outlined above, unless a longer retention period is required or permitted by law. Retention periods may be configured based on the nature of the data and legal or operational requirements.

Lawful Basis for Processing

The use of VRA technology is based on one or more lawful grounds under applicable data protection laws, including:

  • Your explicit consent, where required, particularly when processing special category data (e.g., health-related information);
  • Our legitimate interests in improving service delivery, ensuring safety, and training personnel;
  • Compliance with legal obligations.

Where consent is the legal basis for processing, you may withdraw your consent at any time without affecting the lawfulness of processing before withdrawal.

Your Rights and Choices

You have the right to:

  • Be informed about the use of VRA;
  • Access, rectify, or request deletion of any personal data collected through VRA;
  • Object to or restrict processing in certain circumstances;
  • Choose alternative methods of interaction that do not involve VRA;
  • Opt out of VRA-based sessions at any time.

To exercise your rights or to opt out of VRA technology please select ‘Cancel’ when being offered whether to accept or cancel the use of the technology.
